This policy explains what Sarool collects, why, where it is stored, and how to exercise your rights. It applies to Sarool accounts (tenant operators) and to end customers who complete a vehicle inspection through a magic link.

Data collected
Tenant side : email, first name, last name, organisation, role, activity log, billing data. Customer side (inspection) : first name, last name, email, phone, preferred language, vehicle condition photos (captured via camera), metadata (timestamp, GPS, EXIF, SHA-256 hash), mileage, fuel level, handwritten signature, OTP confirmation code, IP address and user-agent at signing time.
Purposes
Enabling vehicle handover and keeping tamper-evident proof of its condition at pick-up and return. Issuing invoices. Sending document alerts. Auditing platform usage.
Legal basis
Performance of contract, legal obligations, legitimate interest.
Hosting and location
Vercel (Frankfurt region, EU), Neon Postgres (Frankfurt region, EU), Vercel Blob for photos. All data stays within the European Union.
Retention
Account : during subscription plus 5 years. Inspections and photos : 5 years after handover ends. Audit logs : 1 year.

Subprocessors
Vercel, Neon, Clerk, Stripe, Resend, Twilio, Upstash. All under GDPR data processing agreements.
